This Privacy Policy explains how Writing Ninja, LLC (“Writing Ninja,” “we,” “us,” or “our”) collects, uses, shares, stores, retains, and otherwise processes personal information in connection with the websites, software, tools, memberships, and services we provide (collectively, the “Sites and Services”). This Policy uses the same defined terms as our Terms of Use, including “User Creative Content,” “Sites and Services,” and “Authorized Collaborator.” Please read this Policy together with our Terms of Use.

When you create an account or use the Sites and Services, Writing Ninja processes personal information as described in this Privacy Policy. Section 7 explains your privacy rights and choices.

What matters most

Your story is yours. We never use your User Creative Content to train or improve AI models.
AI processing is optional and limited. If you choose to use an AI-powered feature, we send only the User Creative Content needed for that specific request.
We collect what we need to run, secure, and support Writing Ninja — account details, billing information, the content you create, and information about how you use the Sites — described in full below.
We don’t sell your information.

This summary is provided for convenience. The complete Policy below governs how we handle your information.

1. Who this Policy covers

This Policy applies to anyone who visits the Sites or creates a Writing Ninja account. You must be at least 18 years old to create or use a Writing Ninja account, and we do not knowingly collect personal information from anyone under 18. If we learn we’ve collected personal information from someone under 18, we will take appropriate steps to delete it, unless retention is required or permitted by law.

2. Information we collect

Account and identity information. When you create an account, we collect your name, email address, username, and password.

Early Access, beta, and promotional applications. If you apply for Early Access, a beta program, a promotion, or a similar opportunity, we may collect your application responses, writing interests, project information, writing goals, eligibility information, discount codes, feedback, and similar information you choose to provide.

Billing information. When you purchase a membership, your full payment card number, card expiration date, and security code are processed by our payment processor and are not stored by Writing Ninja. We separately receive and store limited billing and transaction information — including your name, email address, membership purchased, transaction amount, payment status, discount code, gift code, or membership code, transaction date, purchase history, card brand, and the last four digits of your card, to the extent our payment processor makes those fields available to us. We also track your membership’s own renewal or expiration date through our membership system — separate from your card’s expiration date — so we can manage your membership and send renewal reminders.

Gift Memberships and membership codes. If you purchase a Gift Membership, we process the purchaser’s billing and transaction information as described above. We do not collect the recipient’s account information for that Gift Membership unless and until the recipient creates a Writing Ninja account or redeems the Gift Membership code. When a recipient redeems a Gift Membership code, we collect the account, membership, redemption, and code information needed to create or manage that membership.

User Creative Content. The story ideas, concepts, characters, plots, dialogue, scenes, themes, loglines, premises, outlines, notes, worldbuilding, research, and other original story-specific material you enter, upload, save, or develop through Writing Ninja. This Policy explains how we handle that content. Our Terms of Use govern ownership: you retain all rights you lawfully hold in User Creative Content, and Writing Ninja does not claim ownership of it.

Technical, usage, and analytics information. We and our service providers may collect technical, usage, and analytics information across both public pages and logged-in areas of the Sites, including IP address, browser and device type, pages visited, features used, approximate location, timestamps, and similar usage data. See our Cookie Policy for the categories of cookies we use and your choices about them.

Communications. We collect information you send us, including support requests, feedback, privacy requests, legal notices, arbitration opt-outs, and other messages. Story-specific details you include in a support request remain User Creative Content — they don’t become product feedback merely because you sent them while requesting help.

Email lists and free resources. If you join a waitlist, request updates, apply for Early Access, or provide your email address to receive a free download or other resource, we may collect your name, email address, signup source, and communication preferences.

Required and optional information. Some information you provide may be required to enter into or perform our contract with you — including to create or manage an account, complete a purchase, or provide a requested feature — or to act on your request or comply with applicable law. Other information you choose to provide is optional. If you do not provide required information, we may be unable to create or manage the account, complete the purchase, provide the requested feature, or act on your request.

3. How we use information

We use information to:

provide and operate the Sites and Services, including administering your account, projects, and stored data;
process purchases, payments, refunds, and administer memberships;
evaluate and administer Early Access, beta, and promotional applications;
respond to support requests and diagnose or resolve technical, operational, or security problems;
perform system maintenance, migrations, backups, and disaster recovery;
investigate or prevent fraud, abuse, unauthorized access, security threats, infringement, or misuse;
enforce our Terms of Use;
send account-related and, where you’ve opted in, marketing communications;
comply with applicable law or legal process; and
evaluate and improve how the Sites and Services work, including by understanding aggregate, non-identifying usage patterns.

We do not use your User Creative Content to train or improve AI models or develop our own stories, screenplays, novels, characters, plots, or other creative works. When reasonably necessary for the purposes described in this Policy and our Terms of Use, authorized Writing Ninja personnel may access and review User Creative Content. This operational access does not give us any claim on your ideas.

4. AI processing (Neno.ai and other AI-powered features)

Some optional features, including Neno.ai, use artificial intelligence. These features are clearly marked and completely optional.

We don’t send your User Creative Content for AI processing simply because you enter, save, or develop it in Writing Ninja. When you choose to use Neno.ai or another AI-powered feature, only the material needed for that specific request is sent for processing.

Your User Creative Content is not used to train or improve AI models.

We use one or more third-party AI service providers to process AI-powered feature requests. Material submitted for AI processing may be temporarily retained by those providers for up to 30 days, to provide the service, maintain security, and protect against misuse, unless a longer period is required by law. We will provide additional processor information when required by applicable law.

AI-generated suggestions that become part of your project are treated as User Creative Content under this Policy and our Terms of Use, including the confidentiality and non-use commitments described above.

AI processing practices are handled in part by third-party providers and may change over time. If a material change affects how User Creative Content submitted for AI processing is handled, we will update this Policy and provide notice when required by law.

5. How we share information

We share information only as described here.

Service providers. We work with service providers that help us operate, secure, support, and improve Writing Ninja. These providers may process information only as reasonably necessary to provide services to Writing Ninja, protect systems, comply with law, or perform the functions we have asked them to perform.

We may also share information in the following ways:

Payment processor, to complete your purchase and process recurring charges.
AI service providers, to process AI-powered feature requests, as described in Section 4.
Hosting and infrastructure providers, to store and run the Sites and Services.
Analytics providers, to understand aggregate usage of the Sites and Services, measure performance, and create aggregate reports, in accordance with your cookie choices.
Legal and safety, when required to comply with a valid legal process, or when we reasonably believe disclosure is necessary to address a security threat, prevent fraud, or protect the rights, property, or safety of Writing Ninja, our users, or others.
Business transfers. If Writing Ninja undergoes a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as reasonably necessary. A business transfer does not transfer ownership of your User Creative Content, and any successor remains bound by the ownership, non-use, and retention commitments in our Terms of Use.
At your direction, including when you allow an Authorized Collaborator to access your project. That person may be able to view, use, edit, export, print, copy, or otherwise access information and User Creative Content available through that account or project.

We do not sell your personal information.

6. Data retention

While your account or membership is active, we retain your information to provide the Sites and Services.
If your paid membership ends because of cancellation, a refund, an unresolved payment issue, or an approved Hiatus, we will not intentionally delete your stored User Creative Content solely for that reason for 180 days. After 180 days, content no longer supported by an active membership may be permanently deleted.
When you delete an entry, or complete an account deletion request, we remove it from your active account. You may be able to delete certain projects, profiles, entries, or other materials directly through your account; some associated records may require backend processing, or a completed account-deletion request, to be fully removed from active systems. Deleted content may also remain in backup systems for up to 30 days before being replaced or deleted through ordinary backup cycles, unless a longer period is required by law or reasonably necessary for legal, security, or operational reasons.
Material submitted through an AI-powered feature is subject to the separate retention window described in Section 4, regardless of whether you’ve since deleted it from your account.
Inactive accounts. Accounts that have had no active paid membership and no account activity for at least 180 consecutive days may be deleted, together with their stored content, subject to applicable law.
Even after account deletion, we may retain certain records where reasonably necessary for legal, security, operational, billing, tax, accounting, compliance, or fraud-prevention reasons — for example, billing and transaction records, support emails, legal notices, arbitration opt-out records, security logs, and records needed to establish, exercise, or defend a legal claim.

7. Your rights and choices

You can access and update your account information directly through your account settings, and you can request deletion of your account or specific content at any time, subject to the retention practices described in Section 6.

Privacy rights. Depending on where you live, you may have rights to access, correct, delete, or receive a copy of certain personal information. EU, UK, New Zealand, and Canadian users should also review the additional rights described below. To submit a request, contact us at [email protected]. We may need to verify your identity before responding, and we may decline or limit a request where permitted or required by law, including when information must be retained for the reasons described in Section 6.

European Union and United Kingdom users. Where EU or UK data protection law applies, Writing Ninja, LLC is the controller of your personal information. We process personal information as needed to perform our contract with you, including creating and managing your account, providing memberships, storing and displaying User Creative Content, processing payments, providing optional features you choose to use, and responding to support requests. We also process personal information based on our legitimate interests in operating, securing, supporting, analyzing, and improving Writing Ninja; preventing fraud, abuse, unauthorized access, infringement, or misuse; enforcing our Terms of Use; and protecting our rights and the rights of our users. We process some information to comply with legal obligations, including tax, accounting, consumer-protection, legal-process, and compliance obligations. Where required, we rely on consent, including for certain cookies, marketing communications, or optional activities.

EU and UK users may have rights to access, correct, delete, restrict, or object to the processing of their personal information; receive a copy of certain personal information in a portable format; and withdraw consent where processing is based on consent. Withdrawing consent does not affect processing that occurred before withdrawal. EU users may lodge a complaint with their local data protection authority, and UK users may lodge a complaint with the Information Commissioner’s Office.

New Zealand and Canadian users. Where New Zealand’s Privacy Act 2020 or Canadian privacy law — including the federal Personal Information Protection and Electronic Documents Act and, for Quebec residents, Quebec’s Act Respecting the Protection of Personal Information in the Private Sector — applies, we collect, use, disclose, retain, and protect your personal information for the purposes described in this Policy: to provide and secure the Sites and Services, manage your account and membership, process payments, provide optional features you choose to use, respond to your requests, comply with applicable law, and protect the rights, safety, and security of Writing Ninja and our users. We rely on consent where required by applicable law, including for optional activities, and otherwise process personal information as reasonably necessary or permitted for those purposes.

New Zealand and Canadian users may have rights to access their personal information, request correction of inaccurate information, withdraw consent where processing is based on consent, and challenge our compliance with applicable privacy law. Quebec residents may also have rights to request the deletion, de-indexing, or cessation of dissemination of certain personal information, and to receive certain personal information in a portable format, consistent with Quebec’s Act Respecting the Protection of Personal Information in the Private Sector. New Zealand users may lodge a complaint with New Zealand’s Office of the Privacy Commissioner. Canadian users may lodge a complaint with the Office of the Privacy Commissioner of Canada, and Quebec residents may also lodge a complaint with the Commission d’accès à l’information du Québec.

You may opt out of marketing emails using the unsubscribe mechanism provided in the message. Even if you opt out of marketing messages, we may still send transactional, operational, legal, billing, account, membership, renewal, security, and service-related messages.

8. Cookies and tracking technologies

We use cookies and similar technologies to operate the Sites, remember your preferences, and understand how the Sites are used. For the categories of cookies we use and how to manage your choices, see our Cookie Policy.

9. Data security

We maintain backups, security measures, and recovery procedures for operational, security, backup, disaster-recovery, and business-continuity purposes. No system is perfectly secure, and we cannot guarantee that information will never be lost, damaged, or accessed without authorization because of technical failure, security incidents, or other circumstances beyond our reasonable control.

10. International users and transfers

Writing Ninja is based in the United States. If you access or use the Sites and Services from outside the United States, your information may be processed and stored in the United States or other locations where Writing Ninja or its service providers operate.

Privacy laws may differ from the laws in your location. Where applicable law gives you rights that cannot lawfully be waived, Writing Ninja will honor those rights.

11. Third-party links and services

The Sites and Services may link to websites, platforms, tools, products, or services operated by third parties. Their privacy practices are governed by their own policies, not this one. We encourage you to review any third party’s privacy policy before providing it with your information.

12. Changes to this Policy

We may update this Privacy Policy. If we make a material change, including a material change affecting how User Creative Content submitted for AI processing is handled, we will provide notice as required by applicable law. A change to this Privacy Policy does not alter the protections for User Creative Content stated in our Terms of Use. Any change to those protections is governed by the Terms of Use. We will obtain consent for a change when required by applicable law.
